The challenge

As part of Newell Brands’ evolution from a holding company into an operating company, the organization’s IT team was unified and re-organized to focus on three core areas: engagement, innovation, and execution/service. The team also implemented a single service help desk to centralize data capturing and issue tracking, and rolled out a SharePoint project management process across the entire field. While this effort was largely successful and led to significant improvements in collaboration, operations and day-to- day support, there were some key project and portfolio management challenges that emerged including:

    • Slow project velocity – project planning and preparation was taking longer than necessary
    • Project completion rates were acceptable, but not optimized
    • Project management processes were manually intensive and new project managers found them
      confusing
    • The process was considered “clunky” by end users
    • Reporting was difficult and complex

The solution

Newell Brands evaluated various project management tools, including Clarizen. They ultimately determined that Clarizen was the best fit for their current and long-term needs because of the solution’s built-in capacity to:

    • Support existing processes with workflow functionality
    • Establish a “single source of truth” and common document repository
    • Customize templates to drive standards and improve planning
    • Enable visibility to resource availability and workloads
    • Provide dynamic reporting for all stakeholders, including executives
    • Implement quickly and support rapid, widespread adoption

On this last point, Newell Brands’ Director of IT Tom Leonard says: “We had spent a year without a suitable PPM solution, and so we were behind the 8-ball in terms of timeline. I told my team whatever solution we choose, it has to be up and running in about three to four weeks.”

Results

    • Project request duration decreased by 75%
    • Project definition duration decreased by 53%
    • Project requirement duration decreased by 33%
    • Project planning duration reduced decreased by 51%
  • Saved 8,000 hours a year in review/meeting time:
    • Reduced project review from 4 hours/week in meetings with 20 people, to zero hours a week and no meetings
    • Reduced development task review from 2 hours/week in meetings with 10 people, to zero hours a week and no meetings
    • Reduced status report burden from 1 hour/week with 60 people, to zero hours a week and no meetings
  • Without adding staff, increased project portfolio count from 42 to over 100 and increased project portfolio value by 3x
  • All essential project information is now captured in a centralized system, allowing the IT team to evaluate priority, review feasibility, and determine value
  • Key deliverables are now automatically created, including project charters and business
    requirements documents (BRDs)
  • Can now effectively manage and monitor resource utilization across all projects
  • Can generate dynamic reports out-of- the-box, including those that provide leadership and portfolio perspectives
  • IT Team achieved 100% adoption of Clarizen portfolio value by 3x

Looking ahead

In terms of future plans, Newell Brands’ experience with Clarizen has been so successful – especially in terms of increasing project velocity – that the organization plans on rolling the solution out to its global infrastructure and information technology service center (ITSC) teams in the near future.
