Clarizen V5.0 – Moving Your Process Automation to Next Level
Clarizen’s great usability is winning users over. As we rapidly grow our customer base as well as expand our presence within current accounts, we see great value in further empowering organizations by giving them the tools they need to automate their mission critical processes .
Clarizen V5.0 focuses on data customization & process automation. With Clarizen’s V5.0 formula based custom fields and new business rules, you will be able to customize data automation, validation, KPI and workflow rules on your processes.
As always, this version also contains some key customer success features.
V5.0 Main Features
Enterprise Edition, Time & Expense Licenses
V5.0 customization capabilities will enable companies to adapt Clarizen for their own needs. In this version we are rolling out a new subscription structure based on the different functionality needs in your organization. Now you will be able to determine if your organization better suits the Professional or Enterprise feature set and subscribe to only the functionality you need.
We have packaged the Enterprise edition with features that will give you a greater range of customization options, while the Professional edition assumes you will be comfortable using Clarizen out-of-the-box.
Not to worry, all of Clarizen’s existing customers will be offered with a FREE upgrade of their account to the Enterprise edition – it is worth mentioning that if you do take advantage of this offer and upgrade all of your licenses, all future licenses will need to be Enterprise level as well.
Along with the new edition break down, we are also introducing a new type of license called Time & Expense. This license type will be available at a reduced price and will allow users access to the timesheets and expenses module, in addition to being able to report progress over email.
For those of you who are existing customers, you will be happy to know that we are also introducing a new order form that will give you much more flexibility to align your licenses to a single date and more.
Formula Based Custom Fields
So the exciting news in V5.0 is the ability to customize. To start with, you will be able to define any type of custom field that you need to any class: textual, pick list (iconic or not), dates, currencies, numeric, time effort, reference to other object and more.
Each of those field types can be set to be manually entered by the user or based on a simple formula, (such as Field1 = MAX(Field 2, Field 3)) or an advanced formula (such as including if conditions and more). This allows you to build appropriate connection between fields, KPIs and more.
You can also build invisible fields that may help you integrate with other systems.
Check out some screenshot of the custom field’s main page as well as an example of a formula based custom field that generates an updated work field based on the SPI parameter, which indicates the pace of progress.
Another interesting example is an iconic pick list that can be formula-based, giving you the ability to create a graphical KPI for your objects.
Next on our customization journey in V5.0 are the new workflow rules. The workflow rules will enable you to define for each entity type, including link objects (such as work item-resource, work item-issue) a list of rules that can be triggered at every addition, modification or deletion of objects of that type.
Within a business rule, you can define the criteria according to which the rule is valid and then the list of resulting actions. For example: modification of another field, rescheduling operation for a work item, email sent, outbound call, etc.
For every entity type you can have several business rules and you can define their order of execution.
- Automatic routing of an issue by priority, and category – upon addition of an issue, if it’s severity is set to critical and functionality is mission critical, the issue should be automatically re-routed to appropriate senior DBA (basically modification of the assigned to field)
- Whenever a work item is completed, send an automatic email to the work item manager, project manager and other team members
- When an issue is updated to resolved, automatically update the resolved by and resolution date fields
- When an item is completed, run through the successors and automatically reschedule them accordingly
- Whenever a work item is updated to at risk, automatically send an update request for that work item
- Whenever a timesheet is approved, automatically send this information to an accounting system
Clarizen’s new validation rules allow you to specify if your data is valid by defining a custom set of predefined rules.. You will be able to block inserting, modifying or deleting objects when meeting certain criteria.
Within the validation rule, you will be able to define a custom error message to prompt a user upon attempting to perform the invalid operation.
- block non-admin users from inviting new users
- mandatory custom field that has to be entered by the user
- disable adding a critical issue without feeding in additional attributes
Often, in the reality of today’s busy work place, you may have tasks that are executed by several resources. With V5.0, you will be able to set at a global level, project level or a single work item level, whether progress, actual effort or remaining efforts are globally reported (anyone in the name of all resources) or by each resource individually.
In case individual reporting was set, a resource will be able to both see the overall progress of a task, the other team members progress, as well as updating the resource’s.
Clarizen’s New Training Center
At Clarizen, we are proud that users can get up and running on the Clarizen platform in no time. To ensure that your initial ramp up period goes as smoothly as possible, we are introducing in V5 a new Training Center that lets our users delve more deeply into Clarizen functionality, at their own convenience.
The Training Center will replace Clarizen’s existing help system and is being developed on a Wiki platform giving you access to edit and add your own comments and contributions.
The Training Center will include dozens of new role and feature based mini-tutorials that will guide you through the system.

Login with your Gmail, LinkedIn or other social network account
Finally, no need to remember another username and password! With the new Login and registration, users will be able to access Clarizen with their LinkedIn, Facebook, Yahoo or Google credentials.
